If you’re in charge of buying safety equipment—gas detectors, fire alarm systems, hard hats, respirators—you’ve seen the same playbook: “Our product is the best. Period.”
I call BS.
I believe the smartest safety procurement decision isn’t picking the “best” product. It’s knowing exactly where that product falls short and deciding if you can live with it.
I’m a procurement manager at a mid-sized manufacturing company. I’ve managed our safety equipment budget (about $250,000 annually) for 6 years. I’ve negotiated with 20+ vendors, tracked every order in our cost system, and made my share of bad calls. Here’s what I’ve learned.

Two years ago, I was sourcing Type 2 hard hats for our warehouse team. We needed 200 units. Vendor A (Honeywell) quoted $14.50 per unit. Vendor B quoted $9.80. Same specs? Looked like it. Same ANSI Z89.1 Type 2 rating? Yes. I almost pulled the trigger on Vendor B.
Then I checked the fine print. Vendor B charged $4.50 per unit for custom embossing (our company logo). Vendor A included it. Vendor B charged a $300 “minimum order handling” fee for orders under 500 units. Vendor A didn’t. Vendor B’s “bulk discount” required a 6-month contract. We needed a one-time order.
Total TCO for Vendor B: ($9.80 × 200) + ($4.50 × 200) + $300 = $3,160.
Total TCO for Vendor A: ($14.50 × 200) = $2,900.
That’s an $8,400 difference over 6 years if we ordered quarterly. And I almost missed it. (Which, honestly, would have been embarrassing.)

I see this mistake constantly. People search “how to change a smoke detector” or “Honeywell fire alarm system manual” and assume all models work the same. They don’t.
Let me give you another example. We installed a Honeywell fire alarm system last year. The spec sheet listed “compatible with all standard detectors.” I assumed that meant our existing units would work. They didn’t. The voltage range was different. We had to replace 12 detectors. Cost: $2,400.
I said “compatible.” They heard “plug-and-play.” We were using the same words but meaning different things. Discovered this when the alarm kept tripping on the second day.
Three things I now check before any safety purchase
After 6 years and enough spreadsheets to wallpaper my office, here’s my process:
- 1. Compatibility—but verify, don’t assume. If I’m buying a Honeywell FocusPro N100 manual (yes, I’ve downloaded five different versions), I cross-check the model number against our existing system. I call support. I ask for a compatibility matrix. Three vendors, one afternoon, one hour of my time—saved me $2,400.
- 2. Total cost of ownership (TCO). Unit price is the tip of the iceberg. Factor in: installation, calibration (for gas detectors), testing (for fire alarms), replacement parts, shipping, training. Our procurement policy now requires quotes from 3 vendors. Spreadsheet tracks 18 cost categories. It’s not sexy. It works.
- 3. Service response time—not just SLA. One vendor promised “24-hour response” on their gas detectors. Great. Then I tested it by calling at 5 PM on a Friday. Got voicemail. Called back Monday at 8 AM. Still voicemail. Only responded Tuesday afternoon. We needed a fault code decoded within 4 hours on a production line. That 24-hour SLA was meaningless.
But what about the “best” product for every need?
I get why people want one supplier, one SKU, one answer. Simplicity is seductive. But the reality is: no single product is perfect for every situation.
I recommend Honeywell for: Gas detection (their sensor technology is genuinely more reliable in harsh environments), fire alarm systems (installation support is solid), and hard hats (consistent quality across batches).
I wouldn’t recommend them for: Basic earplugs or disposable gloves—there are cheaper options that meet the same standards. Also, if you need a niche respirator fit test type, their selection is narrower than some specialists.
To be fair, every vendor has gaps. Honeywell’s manual for the FocusPro N100 (circa 2023) was confusing. I had to call support three times. But they answered quickly (surprise, surprise).
Honest limitation: this approach isn’t for everyone
If you’re buying one hard hat for personal use, none of this matters. Pick the cheapest ANSI-rated one. Done.
If you’re managing safety for a plant with 200+ employees, you need a system. And that system needs honest vendor feedback.
I’ve learned that “everything is the best” means “nothing is.” The vendors who admit a product isn’t right for your situation? Those are the ones I trust.
Bottom line
Stop asking “which product is best.” Start asking “where will this product fail me, and can I handle that?”
I’ve made procurement decisions that saved $8,400 annually by switching vendors. I’ve also cost my company $2,400 by assuming compatibility. The difference was asking the hard question upfront.
That’s what I think. And I’m sticking with it.
